Long Distance Authorization Codes
Employees submitted ideas for cost savings last year and one of them was to use Authorization Codes
for long distance calls to help reduce costs. This change is a direct result of this employee engagement
and will help Shands manage phone expenses.
Most numbers internal to Shands can be dialed using our internal 5-digit dialing instead of long distance.
You can also reach UF numbers (392,273,876) by dialing the proper codes without long distance.
(Shands Jax is the major exclusion). Internal dialing on the Shands Network
Employees and medical staff members will be asked to log into the CHRIS system on the ShandsConnect Portal and request their code.
Q: Will every person need an Authorization code ?
A: Yes, if you need to make long distance calls you need one.
Q: How long will my authorization code be?
A: 8 digits.
Q: Can I use my code only at my phone or specific phones in my office?
A: Long Distance Authorization Codes can be used from any Shands phone including house phones (such as the phones in hallways)
and conference rooms that currently do not allow long-distance calls.
Q: Will fax machines require an Authorization Code for Long distance calls?
A: No
Q: How do I get a code?
- Users will complete a CHRIS interview and key fields
- Supervisor
- Note: It is critical for supervisor's to complete an interview early.
- Building
- Email Address
- Extension
- Department Phone number
- Users will request an Authorization Code through the CHRIS system
- CHRIS will send an email to the Supervisor requesting approval and billing information
- CHRIS will assign an Authorization Code within 2 normal business days
- An email will be sent to the user that the number has been assigned
- The user will log into CHRIS and retrieve their code
Q: I work at a small off-site and one of the main buildings- what should I choose for site?
A: Choose the small off-site. Codes at smaller IPS switches will also
work at in the core (Fusion) buildings.
Q: My supervisor did not receive the email for my request from CHRIS- what next?
A: The email is not critical for the process, it is merely used to notify people they need to do something.
- Your supervisor's email address in CHRIS may be wrong.
- Your supervisor can go into CHRIS and view pending requests.
- Junk mail filtering option ( Tools -> Junk mail handling in Groupwise ) may be filtering the emails
- Contact your IT support for help troubleshooting your junk mail filtering.
- You may have selected the wrong person - you will need to select the correct supervisor and resubmit your request.
- Note: You can always check the status of your request in CHRIS.
Q: My supervisor approved my code but I did not get an email- what next?
A: The email is not critical for the process, it is merely used to notify people they need to do something.
- You should go into CHRIS and verify your email address is correct.
- Junk mail filtering option ( Tools -> Junk mail handling in Groupwise ) may be filtering the emails
- Contact your IT support for help troubleshooting your junk mail filtering.
- Go into CHRIS and check on your code- you can do this without the email.
Q: What if I forget my code?
A: Log into CHRIS to retrieve your code.
Q: How will I know how much my long distance costs?
A: Each month you and your supervisor will receive a copy of your long distance call detail and the costs.
Q: How can I get into CHRIS?
A: There are several ways to get into CHRIS:
- Login to the Shands Portal and then
use the CHRIS link at the top under "Applications"
- CHRIS menu via Portal directly
- If you are having trouble logging into Shands Portal please call the Shands IT Help Desk at 265-0526
- CHRIS login using your last name and last 5 digits of your SSN or CHRIS password
Q: I have contract or temporary employees that are not in CHRIS- how do they get codes?
A: We can add them into CHRIS for this purpose. Please call Communications (352-265-0220) or send an email to Natika Edwards or Angela Shore. You can also submit a CHRIS work order for Communications and we will contact you to get necessary information.
- You will need to use the Authorization Code Manager option to cancel their code when they leave and it would be good to let use know.

To make a long distance call at your site on or after the "Go-Live" date above you will

Fusion network:
The Fusion network switches all use the same database for authorization
codes. If your authorization code is programmed on the Fusion switches
you can use your code at any of the following locations:

The following IPS switches (sites) are not part of the Fusion network
and must be requested (and programmed) individually. You place your request
in CHRIS and select one of these if needed. If you get a code
for one of these sites it will also work on the fusion network switches.
